Job Description:
Assistant Controller/Financial AnalystPOSITION SUMMARYAssist the
Controller with the monthly close of the various locations and
related company properties and business entities. Resolve problems
with Sales billing at the vendor level. Maintain various accounting
related information on QuickBooks; track parts inventory on a
monthly basis; maintain schedules for warranty work and close out
all accounting paperwork related to such activity. Perform bank
account reconciliation on the various company accounts, balance
inter-company accounts. Perform various sales administration
functions including monthly floor plan reconciliation and quarterly
floorplan audits, review and close out deals, handle title
transfers and review accruals for accuracy. Assist the Controller
and/or Chief Financial Officer with other related duties as
necessary to ensure adequate financial and accounting controls are
in place.KEY ACCOUNTABILITIES
- Perform various accounting related duties on a regular basis
including assistance in monthly accounting close of the various
business entities and real estate locations that are part of the
company's portfolio.
- Perform bank reconciliation and ensure accurate and up to date
records are maintained. Provide regular reports detailing the
company's cash position necessary for the efficient operation of
the business. Maintain accurate records of daily cash
receipts.
- Maintain various accounting information on QuickBooks including
general ledger and journal entries, fixed assets, monthly
depreciation and various other information. Interact as needed with
the Director of Administration who oversees payables, receivables
and payroll.
- Working with the dealership group Parts Managers, conduct
monthly parts inventory tracking to identify potential write-offs,
shortage, damaged goods, etc.
- Maintain paperwork and schedules for warranty work; ensure
accounting close is performed for completed warranty work with
accurate details on charges for parts, labor, towing, etc.; enter
accounting adjustments as needed to ensure accurate reporting.
- Perform reconciliation on prepaid services, amortization and
accrued work; ensure accurate figures for same are posted to the
General Ledger.
- Perform bank reconciliation on the major operating accounts for
the four sales entities; resolve any discrepancies as appropriate.
Enter accruals as appropriate for sales tax, workers compensation
and related charges. Conduct check writing for approved invoices
according to company payment policies.
- Review the sales contract paperwork ensuring that all policies
are followed by Sales staff; handle the MSO and title paperwork
ensuring accuracy and proper documentation of the transaction.
Review the deal paperwork prior to posting this information to the
accounting and other systems.
- Resolve sales billing discrepancies with manufacturers.
- Oversee the quarterly floor plan audit; oversee monthly
reconciliation of dealership group floor plans; maintain accurate
records of truck chassis VIN and stock numbers and other related
information.
- Perform other related duties such as ad-hoc financial analytics
as assigned by the Controller and/or Chief Financial Officer.
BACKGROUND AND EXPERIENCECollege degree in accounting, plus 4 - 6
years experience in accounting, business operations or related
disciplines. Must have strong organizational skills, desire to
learn, strong communication and detail orientation skills.
Experience with truck or automotive dealerships, and CDK system is
a plus.
